Job Summary and Responsibilities

As our Executive Assistant, you will be an indispensable strategic partner, providing high-level administrative leadership and support to empower executive effectiveness.

Every day, you will expertly oversee daily administrative operations for executives, acting as a primary point of contact and independently managing routine matters. You'll represent executives, manage schedules, coordinate communications, and prepare sensitive documents, utilizing comprehensive organizational knowledge for confident decision-making.

To be successful in this role, you will possess exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.

  • Schedules meetings, making adjustments as necessary; posts and maintains appointment calendars; prepares confirmations, agendas and materials; makes room/food arrangements and does follow-up work as required. Without error or delay within one week of request 95.98% of time.
  • Attend all assigned meetings. In preparation of assigned meetings will accurately prepare the agenda, during the meeting take accurate minutes and distribute to appropriate team members within 1 business week of the meeting, complete follow-up on all action items in an appropriate and timely manner. Accurately file and route documents.
  • Screens and distributes incoming correspondence, handles and advises supervisor of action taken or prioritizes and arranges with pertinent materials and notation of necessary action to be taken attached. Without error or delay within one day of receipt 95.98% of time.
  • Screens a variety of calls and visitors and, where appropriate, refers them to other staff members or personally provides information based upon established program and policy issues. Without error or delay 95.98% of time.
  • Maintains comprehensive Administrative, Subject and Contract Files. Without error or delay 95.98% of time.
  • Reviews and screens invoices; tracks expenditures and purchases to assure adherence to budget. Assists other administrators and their support staff as needed. Without error or delay within one week of receipt 95.98% of time.

Required

  • 5 years of increasingly responsible administrative experience.
