The posted compensation range of $29.44 - $43.79 /hour is a reasonable estimate that extends from the lowest to the highest pay CommonSpirit in good faith believes it might pay for this particular job, based on the circumstances at the time of posting. CommonSpirit may ultimately pay more or less than the posted range as permitted by law.
Job Summary and Responsibilities
The Event Planner provides event planning and logistics expertise, vendor selection and management, and day of event management – essentially handling all the details that deliver on the vision created by the team. This position will also contribute to building event systems and processes for use throughout the VMFH Pacific Northwest Division Foundation.
As an Event Planner, you will provide expert coordination and strategic oversight, ensuring the seamless execution of successful and impactful events for our organization.
Every day you will expertly manage event logistics, liaise with vendors, develop detailed timelines and budgets, and meticulously oversee all aspects from concept to conclusion, creating memorable and engaging experiences.

Key Responsibilities include:
Implements and oversees logistics of event project management for assigned location:
• Develops and maintains a detailed project schedule, which includes performing administrative tasks and
coordinating with all stakeholders involved in the project.
• Coordinates statewide event calendar to ensure proper staffing and avoid event overlap.
• Coordinates volunteer participation in special event activities.
Events Management:
• Oversees the successful delivery of events that support our mission while remaining highly customer-focused,
operationally efficient, and cost-effective.
• Provides day-of, on-site event management support to the local teams and any volunteers.
• Manages registrations for events as needed.
• Create spreadsheets, databases, and documents as needed.
Vendor Relations:
• Researches and builds a database of vendors.
• Negotiates contracts and related details to deliver events in a high-quality, cost-effective manner.
• Develops excellent working relationships with vendors, and manage them through the planning and execution
of events.
Internal Processes and Systems:
• Creates, or participates in the creation of, documentation for planning events within the Foundation, such as
for internal databases and reporting systems.
• Assists team members in learning and using these systems.
Contributing member of the team:
• Shares best practices with counterparts in different divisions.
• Participates in team selling for funding opportunities across the division as needed.
• Participates in – and seeks out – opportunities to learn about the projects and communities served by local
medical centers, organizations, other divisions as well as VMFH.
Performs related duties as required:
• Assists other team members as needed.
• Assumes special projects and activities as needed.
• Other duties as assigned by management.
Job Requirements
- Bachelor's degree in a related discipline and event planning and project management experience, OR a minimum of 4 years of event planning and project management experience.
Preferred:
- Events coordination experience in a hospital, healthcare system and/or other non-profit organization.
