Responsibilities

About This Position

In keeping with the Marian Regional Medical Center health care philosophy, the Administrative Assistant provides high level administrative support for the Leadership Team by performing administrative support functions and special projects of a confidential nature. The incumbent also coordinates general office duties, e.g., electronic file and general file maintenance, appointment and meeting scheduling, and travel arrangement coordination. Provides appropriate professional image to the public, including callers and visitors. Demonstrates a collaborative approach to work and offers the ability to incorporate critical thinking and processing of the work presented. Interacts collaboratively with other team members and executives in the administrative offices. The Administrative Assistant depicts the office image of the hospital and is key component to the support needed by the Chief Operating Officer/Chief Nurse Executive, Chief Financial Officer as well as Patient Care Services and Ancillary Leaders. Assists leadership with revising policies and creating projects to ensure department polices are reviewed/approved timely.


Qualifications
  • At least three to five years progressive experience in an administrative support position with multiple telephone lines.
  • Typing speed 50 wpm desired. (Preferred)
  • Demonstrated ability in advanced computer skills, including presentation creation, word processing and spreadsheet skills using Google Suite.
  • Strong formulation and preparation of letters and group email communications.
  • Has effective knowledge and application of the English language
  • Excellent communication skills and maintains effective public relations with department clientele.
  • Ability to be an effective team member.
  • Excellent interpersonal skills.
  • Works independently and performs a variety of top notch assignments.
  • Ability to analyze situations and workload.
  • Ability to positively interact with all levels of employees, physicians and management.
  • Strong problem solving and time management skills.
  • Ability to use a variety of office equipment, facsimile machines, telephones, copy machines, computers.
