Job Summary and Responsibilities
As a Department Support Assistant, you will provide essential general office and clerical support within a specific location.

Every day you will perform clerical tasks, utilizing basic office equipment and computer terminals, while adhering to established procedures that primarily impact your immediate unit.

To be successful in this role, you will demonstrate a strong ability to learn on the job, efficiently execute secretarial duties, and adhere to guidelines under direct supervision, contributing to departmental efficiency.

  • Provide all patient/customer reception services for the outpatient rehabilitation programs:
  • Answering/managing a multi phone line system
  • Greets customers, directs them where to wait, notifies correct staff when their patient is ready, and manages sign in process.
  • Collects, posts, and handles payments and co-pays as appropriate.
  • Reconciles cash daily.
  • Schedules new and current patients to meet patients' time needs.
  • Arrange for patient rides following treatment, if needed.
  • Emergent 911 calls as needed for seriously-ill patients.
  • Notifies appropriate staff of cancelled appointments.
  • can referrals.
  • Schedules initial and on-going appointments and evaluations with the proper program following the program referral matrix.
  • Pre-registration of all patients in the appointments pro system.
  • Assists with calling insurance carriers and employers for reauthorization prior to making follow up appointments.
  • Performs electronic scheduling of varied therapies, tracking/acquiring pre-authorization, including coordination of other required tests done by other units, notifying security of in custody patients.

Job Requirements
Required
  • Two years of experience in a medical office setting, with full scope of reception, electronic scheduling, filing, and multi-line phone skills and

Preferred
  • College degree, and Proficiency working with window based computer systems, Excel, Outlook, and word experience, upon hire
  • First Aid, upon hire
