Job Summary and Responsibilities

As our Executive Assistant, you will be an indispensable strategic partner, providing high-level administrative leadership and support to empower executive effectiveness.

Every day, you will expertly oversee daily administrative operations for executives, acting as a primary point of contact and independently managing routine matters. You'll represent executives, manage schedules, coordinate communications, and prepare sensitive documents, utilizing comprehensive organizational knowledge for confident decision-making.

To be successful in this role, you will possess exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.

  • Provides and updates information on behalf of the Vice President to requesting departments/agencies/companies as appropriate.
  • Schedules/arranges meetings and appointments for the Vice President to include sending notices, reminders , changes, cancellations and/or confirming scheduled appointments. Ensures accommodations are adequate; schedules and confirms food service, conference rooms, and equipment when need.
  • Reminds the Vice President daily of calendar appointments for that day to include location, time, and meeting subject matter, in addition to ensuring the they have all materials needed for said meetings.
  • Takes, prepares and distributes minutes for various meetings as directed/requested by the Vice President.
  • Creates and maintains various reports, and works on special projects as requested by the Vice President. Proofreads, edits and prioritize documents to include highly technical and/or procedure drafts in order to ensure accuracy, neatness, precise use of grammar, punctuation and data.
  • Creates and maintains filing systems to include copies of all pertinent information to maintain accurate, precise and easily accessible records and other tasks
Job Requirements

Required

  • Bachelors in Administrative Assistant, Medical Administrative Assistant, Business, Office Administration, Health Science or related field OR a combination of education and/or equivalent administrative support experience may be considered (two years of related experience will be credited for each one year of education)
  • Minimum of four (4) years experience in executive support and project management


Preferred

  • Experience in an acute care hospital or healthcare facility
  • Certified Professional Secretary
