Job Summary and Responsibilities

As our Executive Assistant to the Hospital President, you will be an indispensable strategic partner, providing high-level administrative leadership and support to empower executive effectiveness.

Every day, you will expertly oversee daily administrative operations for executives, acting as a primary point of contact and independently managing routine matters. You'll represent executives, manage schedules, coordinate communications, and prepare sensitive documents, utilizing comprehensive organizational knowledge for confident decision-making.

To be successful in this role, you will possess exceptional organizational skills, discreet judgment, superior communication, and advanced tech proficiency.

  • Provides executive administrative support to the President across Community Hospital of San Bernardino and St. Bernardine Medical Center, ensuring seamless office continuity across both campuses.
  • Maintains a flexible presence and travels between both medical centers and regional locations according to operational, regulatory, and executive priorities.
  • Serves as a key administrative liaison and anticipates needs by preparing background briefing materials, reports, agendas, and logistical details in advance.
  • Monitors major priorities and deadlines across both facilities to proactively manage scheduling, market integration initiatives, and executive engagements.
  • Manages the President’s complex calendar across two medical centers, prioritizing requests and coordinating meetings, campus visits, rounding, and board commitments. Schedules and coordinates meetings, appointments, rounding activities, campus visits, community engagements, governing board meetings, medical staff meetings, executive sessions, and regional or system commitments
  • Develops, maintains, and communicates the campus schedule, ensuring adequate travel, preparation, transition, and executive work time between meetings.
Job Requirements

Required

  • Bachelor's degree in business administration, healthcare administration, office administration, communications, health sciences, or a related field required OR a combination of education and directly related executive administrative experience may be considered in lieu of the degree requirement, consistent with organizational policy.
  • Minimum of five (5) years experience in executive support and project management.


Preferred

  • Prior experiencing supporting a CEO/President.
  • Experience coordinating governing board activities, executive leadership meetings, complex projects, and confidential matters.
  • Certified Professional Secretary.
