Job Summary and Responsibilities

As our Supervisor, Referrals and Image Processing, reporting to the Centralized Scheduling Manager, you will be responsible for the daily operations of the Release of Information and Scheduling team. This role includes the management, maintenance, and protection of patient health information, as well as supervising personnel and ensuring compliance with regulatory requirements.

Every day, you will provide leadership in implementing and maintaining the meaningful use program and department standards. Additionally, this position supports patients, physicians, staff, and vendors by facilitating communication and ensuring timely and appropriate information distribution. Key oversight areas include release of information (ROI), record processing, electronic medical record (EMR) management, scanning, batching, quality assurance, and audits. Travel between related service areas may be required.

To be successful in your role, you will strategically supervise and optimize the daily operations of Referrals and Image Processing, ensuring meticulous management, maintenance, and protection of patient health information. You will demonstrate exceptional leadership in ensuring regulatory compliance, implementing meaningful use programs, and fostering seamless communication among all stakeholders, while overseeing critical functions such as ROI, EMR management, and quality assurance to enhance efficiency and data integrity.

  • Supervise the daily operations and staff of the Release of Information (ROI) and Scheduling departments, ensuring effective workflows, proper staffing, adherence to clinic protocols, and continuous service delivery across all service lines.
  • Maintain current knowledge of HIPAA, Joint Commission, Dignity Health, and other applicable federal, state, and accrediting standards to ensure all ROI and scheduling practices comply with privacy laws, ethical guidelines, and internal policies.
  • Oversee the processing of medical record requests and releases, ensuring secure handling, proper authorization, and timely response which includes managing the storage, access, and destruction of medical records in alignment with legal retention guidelines.
  • Implement and enforce SOPs for internal and external providers related to imaging orders and scheduling processes and ensure documentation practices support accuracy, consistency, and compliance.
  • Ensures accuracy in data entry, scanning, and indexing of medical records within the EMR and conducts regular audits to verify the completeness, accuracy, and timeliness of patient records and information releases.
  • Leads staff training, performance evaluations, and coaching to promote growth and accountability and set clear expectations, provide feedback, and support professional development aligned with operational and compliance goals.
  • Assess and allocate staffing, equipment, and technology resources and prepare performance and productivity reports to guide resource planning and operational efficiency.
  • Act as a subject matter resource for staff, providers, and external customers regarding ROI and scheduling concerns and resolve escalated issues promptly.
  • Support operational workflows for referral intake, appointment booking, and template optimization to enhance scheduling and referral coordination.
  • Support effective use and integration of information systems, including but not limited to Cerner/Flowcast, Merge RIS, PACS, Concur, Mobil MD, Avatar, Avaya, and others critical to ROI and scheduling operations.
  • Promote a culture of safety, respect, and accountability and encourage team engagement and morale through regular communication and positive leadership.
  • Assists in monitoring department expenses, supply inventory, and budget support activities and works with leadership to reconcile discrepancies and ensure cost-effective operations.
  • Participate in quality improvement projects and recommends workflow enhancements and collaborates on cross-functional initiatives to elevate service quality and operational outcomes.
Job Requirements

Minimum Qualifications:

  • At least 2 years of experience in a Release of Information (ROI) and/or Health Information Management (HIM) department
  • 3 years call center lead or supervisory experience


Preferred Qualifications:

  • Bachelors Other in Health Information Management, Healthcare Administration, or related field
  • Experience with Cerner, Epic or similar EMR systems
  • Registered Health Information Administrator
  • Registered Health Information Technician
