Job Summary and Responsibilities

As our Associate Acute Care Medical Assistant (AACI), you will help Behavioral Health patients receive vital clinical and administrative support so they can access timely care and improve their well-being.

Every day you will perform essential patient coordination and office management tasks. You will be expected to serve as a crucial link between our patients and medical providers.

To be successful in this role, you must demonstrate strong organizational skills, excellent patient communication abilities, and a commitment to meticulous record-keeping and confidentiality.

This position provides direct front and back office support within our Behavioral Health Department. You will assist psychiatrists by providing basic medication triage, support services, and taking vital signs for adult and child patients. As a front office representative, you will be the first point of contact for clients, managing reception, collecting patient information, verifying insurance, processing copays, and handling communication.

This role is integral to our care management team, supporting quality medication management and clinical problem-solving. You may float between various front office and back office administrative support functions as needed.

Key Responsibilities & Duties:

Back Office Support:

  • Medication & Clinical Assistance: Process medication refill requests (tasks to MD, prior authorizations, faxes), administer injections (as directed), take vital signs, manage MD cancellation lists.
  • Patient Coordination: Process live calls for medication inquiries, clear voicemails, communicate with patients on refill status/services, prepare charts (labs, vitals) for provider review.
  • Documentation: Accurately record all patient interactions in the electronic health record, adhering to confidentiality.

Front Office Support:

  • Patient & Office Management: Answer phones, register and arrive patients, collect copays, manage cash, verify insurance, update demographic information, relay messages.
  • Customer Service: Provide excellent customer service, maintain calm demeanor under pressure, float to other positions as staffing needs dictate.
  • Compliance: Access third-party credit card information and transactional systems responsibly.

Job Requirements

Required

  • High School diploma or equivalent

  • Satisfactory completion of a formal Medical Assistant program pursuant to the Division of Allied Health Professions or military training (Medical Assistant Diploma Required) 

  • Training completed as a Medical Assistant

  • Minimum of 1-2 years medical office experience with care of medical or psychiatric patients and demonstrated ability to engage with patients with behavioral problems

  • American Heart Association issued BLS card 

  • Ability to utilize computer and learn all software to support job functions

  • Medical terminology familiarity with CPT and ICD-9 coding procedures and reference tools

Preferred

  • Experience working in mental health outpatient and /or inpatient settings

  • Knowledge of psychotropic medications

  • Familiarity with an electronic practice management system is preferred
