Job Summary and Responsibilities

The Medical Safe Haven (MSH) Administrative Assistant II will function as a qualified MSH team member who will engage with team members, residency faculty and external partners to provide support for program logistics and other administrative functions. The position will work closely with System Director, Manager, Supervisor and other team members as well as external partners in essential duties including coordinating meetings and conducting follow-up as needed, expense entry and reconciliation, accounts payable and record-keeping and organization. This position supports an advanced knowledge of clinical program operation, and requires at least two years of experience working in a professional environment with community collaboration. Occasional Travel (10%)

Essential Function:

Provides advanced administrative and logistical support to MSH office, including System Director, Manager and Specialist.

Schedules meetings and maintains calendars for the MSH team. Executes all aspects of the meeting and maintains all notes and records for Dignity Health's compliance.

Produces correspondence with various constituencies including but not limited to; greeting cards, proposals, reports, maintaining event RSVPs and communicating logistics to attendees.

Coordinates catering for meetings, often with multiple deliveries due to remote employee involvement.

Maintains paper and electronic records, staff credit card and reimbursements, office inventory and equipment, and daily cleanliness and organization of office and meeting rooms.

Distribute all mail including routing to other departments.

Demonstrates the ability to safely and competently use equipment in the provision of department services. Including, but not limited to: Fax machine, telephone, computer systems, and xerox machine.

Handle sensitive and/or confidential issues, patient complaints and route inquiries accordingly.

Provide support as needed in coordination of internal and external special events, including providing on-site support at events.

MSH Staff to continually streamline and improve all program processes and procedures.

Receives all program invoices and routes for proper approvals.

Creates and renew independent contractor agreements.


Job Requirements
  • High School Graduate upon hire and
  • High School GED upon hire and
  • Minimum 2 years previous experience performing general administrative duties. Required or
  • Minimum 3-5 years previous experience performing general administrative duties. Required
