Job Summary and Responsibilities

The Training and Documentation Analyst, manages, maintains and implements documentation, communication, and employee experience strategies to support the supply chain team. This role supports the development of documentation, communication and training materials, and facilitates end-user training for supply chain-processes in alignment with initiatives. The individual will assist in developing and editing materials including stakeholder and team communications, manuals and e-learning/in-person/web meeting training documents under the direction of the Supply and Service Resource Management Director, Training, Education & Communications, and through collaboration with subject matter experts. Further, this function is responsible for supporting additional support for Supply Chain as required.

Management of Communication strategies includes, but not limited to the following:

  • Develop the monthly internal supply chain e-newsletter, including drafting content, requesting and following up on content from subject matter experts and committee-level contributors. 
  • Lead monthly Supply Chain Newsletter Committee meetings and communicate with team regarding timelines and deliverables.
  • Track newsletter metrics; develop and implement new strategies to maintain engagement levels. 
  • Manage newsletter logistics, including recipient list, publishing timeline, and archival.
  • Support leaders with communication plan development.
  • Deliver communication regarding Lawson ERP to all levels of the organization.
  • Document and implement communication plans to support various strategies. 
  • Implement strategies that support the development of Supply Chain culture and shared knowledge.
  • Communicate sustainability and diversity efforts to internal and external audiences.
  • Ensure that all areas are aware and have a voice and a conduit to have their concerns addressed.

Development and maintenance of documentation includes, but not limited to the following:

  • Develop and maintain documentation that captures each process related to Lawson ERP processes. As business processes are changed, the documentation, communication, and audit controls will be reviewed and updated accordingly; confirm revisions with all stakeholders.
  • Create, manage and facilitate notification and/or training communications to stakeholders regarding process changes.
  • Collaborate with subject matter experts to develop user manuals, communications, and other documentation for the ERP system and other supply chain tools or processes as necessary.

Training of end-users includes, but not limited to the following:

  • Support the implementation of training plans based on needs-assessment, including scheduling, communicating with attendees, presenters and trainers. When applicable for in-person training, assist in developing travel schedule and logistics for trainer(s).
  • Deliver training sessions in a variety of delivery settings (in-person, web) to support system, division, and local level users and leadership.
  • Debrief on training outcomes to identify action plans for instructional improvement. 

Implementation of employee experience strategies includes, but not limited to the following:

  • Partner with Director, Training, Education & Communications to implement employee engagement strategies based on metrics including annual Employee Experience Survey. 
  • Assist with the Supply Chain peer recognition program, including maintaining submission site and materials, and facilitating recognition strategies. 

Will work directly with the SSRM Director, Training/Education & Communications to determine prioritization of work, communicate delays, and for the assignment of other initiatives or directives.

Job Requirements
  • Bachelor’s Degree in business administration, curriculum and instruction, marketing, communications, or related field: required.
  • Minimum 5 years of experience in healthcare Supply Chain environment preferred.
  • Minimum 5 years of experience with Lawson ERP Applications preferred.
  • Expertise with Microsoft Excel, Office and PowerPoint required.
  • Expertise with Google Suite Preferred.
  • High adaptation to a standard model and how the process relates to other functional areas.
  • Detailed knowledge of Business Process development.
  • Communicate effectively with various skill levels to include technical, clinical and non-clinical staff, directors, and managers.
  • Excellent communication skills, both written and verbal, and the ability to maintain process standardization throughout the system.
  • Experience with large, multi-level organizations and the ability to work in a diverse environment preferred.
  • Strong customer service focus and commitment to the mission, vision and values of CommonSpirit Health.
