Job Summary and Responsibilities

We are seeking a high-performing Recruitment Scheduling Coordinator to support our team with excellence and precision.

The Recruitment Scheduling Coordinator provides high-level administrative and scheduling support to a team of high performing Physician and Advanced Practice Provider Recruiters. This role is responsible for managing a high volume of complex scheduling requests, ensuring accuracy, timeliness, and a professional candidate experience. The ideal candidate is detail-oriented, highly organized, and able to communicate effectively with candidates, recruiters, and organizational leaders.


The Recruitment Scheduling Coordinator plays a critical role within the Provider Recruitment team by coordinating interviews, meetings, and recruitment-related activities across multiple stakeholders. This position requires exceptional organizational skills, strong interpersonal communication, and the ability to operate efficiently in a fast-paced, high-volume environment. The role also includes coordinating candidate travel arrangements and managing receipt reimbursements throughout the interview process.

The coordinator will ensure a seamless and professional candidate experience while supporting the productivity and effectiveness of the recruiting team by:

  • Managing high-volume scheduling across high performing, high level recruiters, providers, and clinical leaders
  • Coordinating interviews, site visits, and multi-step recruitment workflows
  • Serving as a trusted liaison between candidates, recruiters, and department leaders
  • Maintaining immaculate records, calendars, and communications to ensure a seamless candidate experience
  • Anticipating scheduling challenges and proactively resolving conflicts before they arise
  • Supporting recruiter productivity by removing administrative barriers and optimizing workflow
  • Coordinate candidate travel arrangements and manage receipt collection and reimbursement processes in accordance with organizational policies
  • Upholding a white-glove candidate experience through clear, timely, and professional communication

What You Bring

  • Proven experience managing high-volume scheduling (preferably in recruiting, healthcare, or provider onboarding)
  • Exceptional attention to detail and organizational mastery
  • Strong interpersonal skills – you can build rapport with candidates and leaders at all levels
  • Excellent written and verbal communication
  • Ability to work collaboratively in a team-oriented environment
  • Tech-savvy with comfort navigating applicant tracking systems, calendars, and communication tools
  • Ability to thrive in a fast-paced, deadline-driven setting


Job Requirements
  • Experience with applicant tracking preferred and/or 2 years of experience of intermediate level administrative support.
  • H/S Degree required. Associate’s preferred.
  • Valid state Driver’s License and proof of automobile insurance required.
  • Excellent oral and written communication skills.
  • Computer skills using Google applications including keyboarding dexterity.
  • Excellent organizational and follow-through/follow-up skills.
  • Critical thinking skills and ability to multi-task effectively.
  • Excellent customer service orientation for all candidates and internal customers.
