Responsibilities

Supervises the day to day operations of assigned Health Information Department Functions (Thin Record File room, Request Desk, Record Pickup, and Prep, Scan and Quality Review of Loose Sheets and for the Emergency Room Records, Off‐site Record Storage and Record Recovery)to assist in fulfilling departmental/hospital goals and objectives and assure compliance with regulatory agencies.

1. Supervises request desk for telephone request (physicians, hospitals, clinics), walk in visitors and chart specific
security request, Maintains spreadsheet.
2. Directly Supervises Prep, Scan, and Quality Review for Loose Sheets and Weekend Emergency Room Records.
3. Supervises Thin Record File Room operations, Maintains spreadsheet.
4. Performs quality checks to ensure records are thinned according to policy and procedures.
5. Communicate with managers outside the department to resolve issues regarding thinned records.
6. Maintains off‐site storage inventory, interacting with storage vendors.
7. Communicate with managers outside department to resolve issues with missing records and parts of records,
Maintains spreadsheet.
8. Create and update Policies and Procedures pertaining to the supervised areas.
9. Provides on the job training in all areas of responsibility in accordance with department standards and hospital
orientation guidelines.
10. Makes appropriate and timely recommendations on staffing needs in the areas of responsibility including number
of employees, shift coverage, promotions, corrective action, terminations, and performance evaluations in accordance
with department and hospital standards and hospital budget.
11. Inform the Assistant Director of any changes, problems, or suggestions in the areas of responsibility.
12. Communicate with managers outside the department to resolve issues regarding record pick and to establish
and/or maintain pick up schedules and services needed.
13. Communicate with physicians and or their staff regarding the Medical Record ChartMaxx password reset and
remote access.
14. Create and monitor staff productivity. Maintains spreadsheet .


Qualifications

Required Education and Experience

*High School Diploma/GED
*One (1) year of experience in discipline with degree OR
*Three (3) years of experience in discipline OR
*Master’s degree and no experience
