Residency Program Administrator - Internal Medicine Residency Program

St. John's Regional Medical Center 

The Residency Program Administrator is a vital Internal Medicine Residency Program team member, providing comprehensive administrative support to the Program Director, Program Manager, faculty, and residents. This position serves as the primary point of contact for the Internal Medicine Residency Program and is responsible for the efficient and effective management of program operations. The ideal candidate will be highly organized, detail-oriented, possess excellent communication and interpersonal skills, and be able to work both independently and collaboratively within a team environment.


Responsibilities
  • Assist the Program Director and Associate Program Director in the day-to-day administration of the residency program.
  • Coordinate resident recruitment activities, including application screening, interview scheduling, and communication with applicants.
  • Manage resident onboarding and offboarding processes.
  • Maintain accurate and up-to-date resident records, including evaluations, training documentation, and licensure information.
  • Assist with the preparation of program accreditation materials and site visits.
  • Coordinate and schedule resident rotations, conferences, and other educational activities.
  • Serve as the primary point of contact for the Internal Medicine Residency Program, responding to inquiries from residents, faculty, staff, and external stakeholders in a timely and professional manner.
  • Provide excellent customer service to all program constituents.
  • Draft and distribute program communications, including announcements, newsletters, and meeting agendas.
  • Prepare meeting agendas and materials.
  • Accurately record and transcribe meeting minutes.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace (Docs, Sheets, Slides, Gmail).
  • Experience with Zoom or other video conferencing platforms for virtual meetings and presentations.
  • Ability to learn and utilize program-specific software and databases.
  • Collaborate with department staff on program-related initiatives and projects.
  • Attend department meetings as needed.
  • Perform other duties as assigned by the Program Director or Associate Program Director.

Qualifications
  • At least 3 years of experience in program management, coordination, or a related business field.

  • Bachelor’s degree preferred.

  • TAGME Certification in Graduate Medical Education (GME) preferred, with successful renewal every 5 years preferred

  • Proven ability to work independently and consistently achieve successful project outcomes.

  • Strong interpersonal skills, with the ability to maintain professional relationships at all levels of the organization.

  • Proficiency in Microsoft and Google Office applications required.

  • Exceptional customer service skills.
