Job Summary and Responsibilities

As an HIM Specialist, you will Serve as a critical guardian of patient data, ensuring the integrity, accuracy, and availability of health records throughout their entire lifecycle. You will act as a subject matter expert within the department, supporting clinical providers and internal stakeholders while upholding the highest standards of regulatory compliance and patient privacy.

Every day will See you managing complex workflows in a fast-paced environment. You will be responsible for the end-to-end management of medical records—from high-volume document imaging and technical chart analysis to resolving data discrepancies within the Master Patient Index. You will spend your day proactively identifying documentation gaps, collaborating with medical staff to ensure chart completion, and handling sensitive information requests with precision and confidentiality.

You should possess a deep understanding of HIPAA regulations and HIM best practices, coupled with the ability to navigate complex electronic health record systems. You are the type of professional who takes pride in accuracy, communicates effectively with clinical teams, and remains composed and organized when managing multiple competing priorities.

Responsibilities:

  • Document Imaging: Oversee the full imaging lifecycle, including preparation, scanning, indexing, and rigorous quality review.
  • Chart Analysis: Audit medical records for completeness; identify and manage provider deficiencies in accordance with regulatory requirements.
  • Data Integrity: Maintain the accuracy of the Master Patient Index (MPI) by investigating and resolving duplicate records and data mismatches.
  • Workflow Support: Partner with providers to reconcile rejected orders and streamline the medical record completion process.
  • Release of Information: Process ROI requests efficiently and accurately, ensuring strict adherence to legal and organizational privacy standards.
  • Compliance Oversight: Serve as a departmental resource for HIPAA and regulatory compliance, ensuring all record-handling procedures meet institutional standards.
Job Requirements

Required: 

  • High School Diploma or GED equivalent.
  • 1–3 years of professional experience, with a minimum of 2 years specifically in Health Information Management (HIM) within an acute care or complex healthcare environment OR progress towards an RHIT or RHIA certification, OR enrollment in a healthcare-related or business degree program with relevant work experience.
  • Demonstrated experience working within Electronic Medical Record (EMR) systems and specialized HIM software applications.
  • Strong working knowledge of HIPAA, HITECH, and medical record regulatory standards.
  • Experience with electronic medical record (EMR) systems and HIM applications required.


Preferred:

  • Associate’s in Health Information Management, Health Informatics, or a related health field.
  • Current RHIT (Registered Health Information Technician) or RHIA (Registered Health Information Administrator) credential.
  • Registered Health Information Administrator.
  • Registered Health Information Technician.
