Job Summary / Purpose
Responsible for a variety of tasks that lead to a high level of customer satisfaction in the most cost-effective manner. Assists SSRM Contract Administration Management with the documentation of supply and service agreements in accordance with strategic business objectives, professional standards, and applicable regulatory requirements. Communicates with and assists the National Contracting teams to ensure a high compliance of accuracy in the management of contract agreements and content integrity of the contract repositories and other downstream departments and systems, including the Enterprise Resource Planning (ERP) systems. Utilizes Lean processes to track National contracting pipelines. Exhibits a strong working knowledge of the contracting systems and workflow.
Collaborates with multiple CommonSpirit Group Purchasing Organizations (GPO) teammates, and follows processes that support the GPO’s business model. Assists with Merger and Acquisition conversion activities.
Essential Key Job Responsibilities
- Developes team relationships with Sourcing and Contracting team members by the use of sound customer service skills and abilities.
- Hosts weekly meetings to review the upcoming pipeline of National contracts. Tracks progress on the Expiring Contract Reports and Lean whiteboards. Sollows through with timely resolutions determined by the Sourcing or Contracting leadership.
- Adopts Lean processes through the use of the Lean whiteboard, and daily Huddle report outs to progressively track 120-day Expiring Contract Reports leading up to critical 30-day contracting activities for National contacts. Communicates specific “stucks” to Contract Administration Management leadership for timely resolutions.
- Initiate Jaggaer Workflow and Assignments. Completes the loading of Jaggaer Attributes, initiate DocuSign envelop requests, create system notifications within Jaggaer. Assist with approvals as work progresses during closeout, and maintain a high standard of excellence when completing close out processes.
- Communicates with vendor representatives to investigate and solve price discrepancies. Calls on the Group Purchasing Organization (GPO) team members for support and assistance when needed as appropriate for GPO business. Participates in weekly pricing process meetings to align processes and tasks by role.
- Collaborates with Group Purchasing Organization (GPO) conversion team during Merger & Acquisition activities. Identifies agreements that allow for notification of acquisitions and divestitures. Notifies vendors and tracks activities related to the transaction with the GPO Project Manager. Validates pricing connections with suppliers.
- Maintains and loads agreements per system protocols for National and Corporate agreements in the approved repositories.
- Drafts Amendments and contract documents at the direction of the Sourcing or Contracting team. Requests price files from Contract Specialist 1, while providing specific instructions to maintain the integrity of the previously negotiated agreement.
- Ensures up-to-date templates are available to Contracting teams, and follows department and Legal Services processes to maintain the Template Library.
- Maintains multiple email Distribution Lists for appropriate readership, and sends Sourcing Initiative Announcements.
- Solves Level 2 Phone and Customer Services inquiries.
